Duties and Responsibilities of Manager Administration
o Demonstrate judgment and self-sufficiency in effective problem solving while serving as the administrative and operational resource for the hospital.
o Standard Intervene in situations involving patients, visitors, hospital staff and other external customers.
o Coordinate operations and personnel activities to meet Departmental, Hospital and Health System objectives related to the provision of services within designated areas.
o Maintain interface with departmental personnel to ensure there is adequate space and facilities for patient care and coordination of facilities.
o Oversee patient care flow while redirecting and allocating resources. *Determine necessary space, equipment, supplies and support systems to ensure effective functioning of unit/department.
o Investigate patient/visitor concerns and implements appropriate courses of action.
o Take corrective action in situations requiring immediate intervention, including interpretation and administration of hospital policy and work rules.
o Intervene and problem solves for inter-/intra-departmental issues. Facilitate interdepartmental communication, negotiation and decision-making.
o Obtain adequate facts and evaluates data to identify and intervene in actual and/or potential safety and risk management issues. *Communicate pertinent information (verbal and/or electronic) in a timely manner to hospital administration and department leadership.
o Supervise Hospital, operational and facility services throughout the entire Hospital on a 24-hour basis.
o Coach staff in problem solving, effective communication strategies, and conflict resolution and career path opportunities.
o Supervision Safety & Security of Staff/Hospital Assets and oversight of all security-related matters in the Hospital area.
Duties and Tasks Performed in INGOs as Security Officer/ Analyst/ Coordinator/ Manager
• Managed and coordinated security operations ensuring that security procedures are implemented and followed as per the Country Security Operating Procedures (SOPs)
• Coordinated all emergency/crisis management providing a timely and coherent response to incidents as they arised
• operational support and guidance to the regional security teams (UNDSS and Other INGOs) as Security Focal Person for all INGOs of Southern Punjab & Norhtern Sindh.
• Liaised and reported to the Security Manager to ensure that all relevant security information is disseminated in a timely manner to the appropriate offices, their staff and other stakeholders as required
• Worked closely with the Country Director to develop an effective security plan to support operations.
• Tasked and guided regional security teams to conduct security assessments and threat analysis
• Assist in the design and implementation of project related security strategies, security policies/standards and establish a concrete course of action for their implementation and review
• Security Trainings were given to all staff members when needed.
Duties and Tasks Performed as Security Focal Person (All INGOs of Northern Sindh) while working as Security Officer Nothern Sindh
• I was selected by all the INGOs and UNDSS Members to act as Security Focal Person for all INGOs. The responsibility was accepted and following duties were performed under FSCO ex UNDSS:
o Collection and confirmation of Security Incidents and then dissemination of information to all Security Persons of INGOs
o Arranged meetings and when asked represented INGOs at different forums (Military Meetings, Police and Other Governments Offices)
o Collection of Special agendas from the INGOs and arranging special meetings.
Key responsibilities
• Assist Director Security & Logistics in:
• Management and oversight of all security-related matters;
• Applying the Security and Safety Management Plans;
• Conducting risk assessment and development of risk mitigation plans;
• Ensure that Safety and Security Checklist is applied and practiced in each project;
• Monitor security environment, preparing daily/weekly security reports, identifying potential threats and recommending appropriate action;
• Ensure that all staff members and partners are compliant to Safety and Security Protocols;
• Update Director Security & Logistics on daily basis as to the overall security situation identifying potential threats directly linked with MEDA staff;
• Maintenance of projects’ security travel clearance documentation and daily travel logs;
• Interact and develop relations with Security Staff from other agencies working in MEDA Project areas including USAID contractors, UN, relevant Government agencies, partner NGO's , INGOs and other forums, and gather security information from these sources and liaise with local law enforcement agencies and District Administration ;
• Assist in the preparation of actors’ maps down to the village level
• Develop rapport and good relationship with key actors (including community leaders/elders) in the project areas of MEDA
• Ensure validation of any reports and manage security rumors;
• Training partners and other security staff working in project area;
• Assist in the acquisition of all necessary requirements regarding Public Relations/Govt. Liaison /Pakistan Army/ documentation for obtaining travel NOCs from GOP/Pak Army and different line agencies;
• Any other task assigned by Director Security & Logistics/management;

MAJOR RESPONSIBILITIES
• Assist the SSO, in the ongoing preparation of Risk Assessments in the District
• Responsible for assisting the SSO in developing and reviewing appropriate Security and Evacuation / Contingency Plans
• Ensure the implementation of the minimum Security guidelines established by the Corporate Security Office
• Assist in developing a security-training plan. Provide a training to national staff as follows:
Personal security as per WV Security guidelines and policies in the field.
Assist SSO in conducting risk assessments
Establishing early warning systems
Emergency evacuation planning
• Establish networks with other NGO’s regarding security and establish an information exchange network.
• Establish field contact systems in WV areas of operation and design emergency contact sets for these areas utilizing local government, military, and personal contacts.
• Closely monitor field security situations with focus on the direct areas of field operations for his/her AoR;
• Develop and maintain strong contacts with military/police authorities as appropriate and in line with WV statements of Operational guidelines relating to cooperation with local enforce agencies
• Identify areas and advice whereby the national SSO requires external support.
• Develop and maintain up-to-date security and evacuation protocols and arrangements for personnel, major mobile assets, and critical documentation.
• Maintain appropriate levels of life-support materials including food stocks, water, medicine, blankets, etc in the relevant contexts where and when necessary.
• Prepare a security orientation document / briefing and ensure all new incoming national staff and visitors are briefed upon arrival.
• Establish, maintain, and monitor staff and asset movement tracking systems. Maintain information systems that clearly present this information to WV staff while maintaining operational security on movement information.
